How to write a wedding photography quotation that gets booked
A quotation is often the first thing a couple compares between studios, usually on their phone, often side by side with two others. The clearest one tends to win, not the cheapest. A few things make the difference:
Price each service separately. Candid, traditional, cinematic film and album on their own lines let the client see what they are paying for, and let you remove a line instead of dropping your whole price.
Show days, not just events. "2 days of candid photography" is easier to compare than a single package number.
Put the payment schedule in the quote. Advance to confirm, part before the event, balance before delivery. Couples plan their budget around these dates.
Give a validity date. It gives the client a reason to decide, and protects you when your rates change.
State delivery timelines and travel terms. Most disputes come from what was not written down.
What should a wedding photography quotation include?
Your studio details, the client and event dates, each service with days and rate (candid, traditional, cinematic film, album), any discount, GST if you are registered, the advance needed to confirm the date, when the balance is due, delivery timelines and how long the quote is valid.
Should I add GST to a wedding photography quote?
If your studio is registered for GST, photography services are generally charged at 18%. Show it as a separate line so the client sees the base price and the tax. If you are not registered, do not add GST. Check with your accountant for your situation.
How much advance should a wedding photographer take?
Most Indian studios take 25% to 50% to block the date, with the balance split before the event and before delivery. The advance should be non-refundable and say so in the quote and contract.
How long should a quotation be valid?
Usually 7 to 15 days. A clear validity date gives the client a reason to decide and protects you from old rates being held to after your prices change.
