Photography and Film Services Agreement

1. Parties

This agreement is between [Studio name] ("the Studio"), and [Client name] ("the Client").

2. Events and coverage

The Studio will photograph and film the following events: Haldi, Mehendi, Wedding and Reception. Coverage hours for each event are as agreed in the quotation. Extra hours or events are charged separately.

3. Deliverables

600+ edited photographs, a 4-6 minute cinematic film, full-length edited video of each event, and one 40-sheet album.

4. Fee and payment schedule

The total fee is ₹2,50,000. An advance of ₹75,000 (30%) is due on signing and confirms the date. ₹1,00,000 (40%) is due before the first event. The balance of ₹75,000 is due before final delivery. Deliverables are released once the full fee is paid.

5. Delivery timeline

Edited photographs within 45 days and films within 75 days of the last event. The Client gets one round of changes on the film and on the album design, requested within 7 days of receiving them.

6. Travel and stay

Travel, stay and food for the team outside [city] are arranged or paid for by the client.

7. Cancellation and date change

The advance is non-refundable, as the Studio turns down other bookings for these dates. If the Client cancels within 30 days of the first event, 50% of the total fee is payable. A date change is accepted once, subject to the Studio being available on the new date.

8. If the Studio cannot attend

If the Studio cannot cover the event because of illness or emergency, it will send an equally experienced team. If no replacement is possible, all money paid is refunded in full, and this is the limit of the Studio's liability.

9. Copyright and usage

The Studio owns the copyright in all photographs and films. The Client may use them for personal purposes and share them on social media with credit to the Studio. The Studio may use selected work for its portfolio and social media unless the Client asks otherwise in writing before the event.

10. Data and backup

The Studio keeps a backup of the final deliverables for 6 months after delivery. After that, the Client is responsible for keeping their own copies.

11. Limitation

The Studio is not responsible for coverage missed because of venue restrictions, guest interference, delays in the event schedule, or rituals that happen outside the agreed coverage hours.

12. Governing law

This agreement is governed by the laws of India. Any dispute is subject to the courts of [city].

Frequently asked questions

Do I really need a contract for wedding photography?

Yes. A WhatsApp message saying "booked" does not settle what happens if the wedding is postponed, the client wants extra hours, or delivery is late. A short signed agreement does, and it makes your studio look professional.

Is a typed or online signature valid in India?

Electronic signatures and online acceptance are widely used for service agreements in India. For high-value or disputed cases, take a lawyer's advice on what form of signature you should use.

Should the advance be refundable?

Most studios make the advance non-refundable, because accepting a date means turning down other weddings. Say it clearly in the contract and in the quotation.

Who owns the wedding photos?

By default the photographer owns the copyright, and the client gets the right to use the photos personally. Write this down, along with whether you may use the photos in your portfolio.
